North America’s largest exhibitor of independent and experimental moving image culture is currently seeking a Guest Services Coordinator. The person in this position will work in a collaborative team environment to plan and execute a successful 2020 festival. Images Festival is a dynamic workplace and annual forum for excellence and innovation in contemporary media art.
The Images Festival, based in Toronto and in its 33rd year, features artist-made Canadian and international film and video and related new installations and live performances. This festival combines 7 days of theatrical screenings, events, artist talks, and live performances from April 16th-22nd, and gallery-based media art installations taking place annually from March to May. Images Festival is one of the most enduring and respected platforms in the world for the exhibition and discourse of independent film and media art. Created in 1987 as an alternative to the only other Toronto film festival at the time, Images has spent the last 32 years presenting media works that are challenging in their form and content. Images showcases the intersection of emerging and established practices and invites open critical dialogue in the film and media arts community around the political herstories of moving image production, distribution, exhibition, and representation. The festival includes screenings, exhibitions, performances, events, and educational initiatives, and is attended annually by more than 30,000 people. The openness of our guiding principles means that Images does not limit its programming to any particular type of filmmaking, but seeks to show works of every form, genre and style including video art, animation, documentary, narrative, structural and lyrical films and videos.
This part-time position will work in a collaborative environment to put together the festival including: communications with visiting artists and guests, travel, accommodations, and schedules. The Guest Services Coordinator reports directly to the Operations Director, working closely with the Artistic Director and the Executive Director, as well as the Images Festival team in all areas relating to supporting the attendance of guests at the festival.
The main duties for Guest Services Coordinator include but are not limited to:
Coordinate travel, accommodation, hospitality and support for guests at the festival including: welcoming, transportation, orientation.
Preparation of transportation schedule of guest arrival and departure in coordination with the Programming and Administration teams.
Communications with participating artists, speakers, and invited guests.
Update contacts related information in the festival database.
Work within travel budgets & timelines. Maintain and update spreadsheets.
Coordination of preparation of guest welcome kits and itineraries. Coordinating participant attendance at their screenings and events, including coordinating passes/accreditation and tickets with the support of the Box Office Manager and Operations Director.
Assistance with coordination of artist fees with the Executive Director.
Coordination of volunteers (ie. Board members or billets) related to hosting of participants during their stay in Toronto.
Work with festival staff, interns and volunteers as required.
General festival, administrative and programming assistance, including support at events, receptions and openings.
Strong written and verbal communication skills
Able to work in a fast-paced team dynamic
Strong organization skills to multitask and meet tight deadlines
Experience in working with festivals, events, and communication with artists/filmmakers/speakers
Administrative Support (i.e. data entry, e-mail correspondence) must be familiar with G Suite and various Content Management Systems
Min. 2 years experience of working in arts, festival administration is a strong asset
Undergraduate degree in arts or equivalent experience
Class G Drivers License
$16/hour for approximately 200 hours

This is a part-time position from January 7 to April 27, 2020
14 hours a week total, including 1 day in office, and flex time throughout the week
84 flexible hours throughout April 2020
